Frequently asked questions
Current Renewal Radar behavior. For the full decision logic, see How it works.
Agent Tools and the decision layer
Renewal Radar turns scattered contract dates, account context and follow-up signals into a clear decision for HubSpot agents and your team. Its deterministic rules resolve which accounts need attention, why and what should happen next. Approved Agent Tools let agents retrieve those decisions and carry out supported actions. The agent handles the conversation; Renewal Radar supplies the decision and evidence.
Yes. HubSpot has approved Renewal Radar’s Agent Tools. The four tools cover finding at-risk accounts, explaining company risk, snoozing an alert and recording a confirmed renewal outcome. Use the existing Renewal Radar app and add the tools to an agent in a supported HubSpot account.
Connect Renewal Radar, activate Team or Partner, and complete your first scan. Open your agent in HubSpot’s Agent Hub and use Add action to find Renewal Radar. In Breeze Studio, open Configure and use Add tool. Add the tools, test with a real Company ID, and publish the agent. Your HubSpot account must have the required agent access and permissions.
Agent Tools require an active Renewal Radar Team or Partner plan with monitoring enabled. The free scan provides exposure totals and three named accounts; it does not include Agent Tools. HubSpot’s own agent access, subscription requirements and credits apply separately.
Two tools only read decisions. The action tools can snooze an existing alert for 14 days or record an explicitly confirmed renewed or churned outcome. Recording an outcome also completes the open follow-up task. Agents should only use these actions when requested; they must not infer a won or lost outcome from activity.
Renewal Radar calculates the business decision with explicit rules and supported HubSpot evidence. The same evidence and rule version produce the same decision. An agent can explain that output, but its generated wording can vary. Missing dates, uncertain timing and ambiguous company matches stay visible instead of becoming invented answers.
No. Your team can keep using Renewal Radar’s HubSpot card, reports and controlled follow-up tasks. Agent Tools give HubSpot agents access to the same decisions and supported actions. You choose how your team works with the output.
Renewal detection
No. Renewal detection is automatic. Renewal Radar discovers eligible renewal semantics and resolves the strongest supported evidence separately for each Company.
Eligible Company, Deal, Subscription, Line item, Quote and relevant custom-object sources can become production-authoritative. Each property still has to pass deterministic semantic, record-state and association rules.
No. Generic Quote expiration, billing/payment cadence dates, forecast and operational dates, created/modified timestamps, and ambiguous generic dates stay excluded from authoritative renewal timing.
Renewal Radar resolves timing deterministically per Company. Stronger semantic evidence wins under the versioned policy, while material conflict between independent explicit sources reduces trust and blocks automatic tasking.
The canonical result can be a renewal-specific proxy, a Low-confidence estimate, or no reliable current timing. Estimates remain visibly estimates and cannot create automatic renewal tasks.
No. Source classification and timing resolution are deterministic and versioned. Runtime resolution does not use an LLM, embeddings, fuzzy matching, machine learning, or a health score.
Risk and tasks
Renewal Risk starts with the canonical renewal timing. Renewal-specific motion, such as a future meeting before renewal or an active renewal Deal, can affect urgency. Generic calls or replies and raw ticket count stay supporting context. Timing confidence and risk severity are separate decisions.
No. A new task also requires task-eligible canonical timing, Company task eligibility, and the normal task lifecycle and account controls. High commercial urgency cannot override uncertain timing.
No. Estimates are Low-confidence monitoring timing and remain task-ineligible.
No. Engagement Risk is a secondary Activity Check. It adds context but does not outrank or replace the primary Renewal Risk decision, and it does not create a standalone automatic Renewal Radar task.
Incomplete authoritative evidence fails closed for unsafe new task creation. Renewal Radar does not treat technical unavailability as proof that an existing active risk disappeared.
Renewal Radar maintains at most one owned renewal follow-up per Company. A change in winning source, source record or policy version does not by itself create a second logical task.
Scanning and performance
It performs portal-wide candidate discovery across supported renewal source families first, then runs the expensive account-level signal checks on the deterministic candidate cohort. Existing Sighub state and safety cohorts remain part of that inventory.
Candidate recall is treated as a safety property. If HubSpot search caps, pagination, permissions or association coverage make complete recall uncertain, Renewal Radar fails open to the broader Company inventory instead of silently skipping possible renewals.
In the latest production read-only validation, a portal with 24,159 Companies produced 375 canonical candidates and completed in 12m33s with zero failed Companies. An earlier 24,077-Company baseline took 4h50m56s. This is an observed benchmark, not a scan-time SLA.
CRM Search traffic is proactively paced through a portal-scoped limiter. In the latest production validation it made 2,942 CRM Search requests at 3.92 requests per second with zero HTTP 429s, zero retries and zero reactive backoff.
Setup and pricing
Renewal Radar is built for teams managing recurring contracts in HubSpot, typically RevOps, Customer Success and Account Management teams responsible for subscriptions, service agreements, retainers, memberships, maintenance contracts or other renewable customer agreements.
Renewal Radar is live in the HubSpot App Marketplace. Install it from the Marketplace listing or start from Sighub, then authorize the portal through HubSpot OAuth. You do not need to choose a portal-wide renewal source during setup.
You can configure the renewal alert window, default contract term used for eligible estimates, optional account value, task owner routing, activity thresholds, and per-account risk controls. Renewal source selection itself is automatic.
Yes. The first renewal exposure scan is read-only and does not create HubSpot tasks. Ongoing monitoring and task automation require an active paid plan.
The Team plan is €99 per portal per month. Partner is a contact-led service at €399 per month for agencies and consultants, with scope and onboarding agreed directly.
Data and privacy
No. Renewal Radar uses the metadata required for renewal and activity signals, such as timestamps, direction, status, dates, amounts and ownership. It does not read email bodies, note bodies, call recordings, meeting notes or ticket content.
Renewal Radar does not edit existing Company, Contact, Deal or Ticket records. Its HubSpot write behavior is limited to the Renewal Radar task lifecycle after task automation has been activated.
No. Renewal Radar is deterministic and does not train a churn or renewal model on customer data.
